Program Assistant

POSITION OVERVIEW

Sustainable Stillwater MN (SSMN) is seeking a reliable and outgoing Program Assistant to support community-focused projects and events that advance sustainability efforts in the Stillwater area. This role is outward-facing and helps strengthen community engagement through coordination, follow-up, data tracking, and volunteer support.

Hours:

Part-Time — 20 hrs/month

Compensation:

To be determined based on experience

Location:

Hybrid (remote + in-person for events or meetings as needed)

KEY RESPONSIBILITIES

Program & Coordination Support

(Approx. 8 hours/month)

  • Serve as a point of contact for program & project leaders and volunteers.

  • Assist with planning and logistics for sustainability events.

  • Communicate follow-up information to partners, volunteers, and participants.

Volunteer & Event Management

(Approx. 6 hours/month)

  • Coordinate volunteers for events and projects, including scheduling and briefings.

  • Track volunteer participation and maintain updated volunteer rosters.

  • Assist with event setup, teardown, and on-site support.

Data Tracking & Reporting

(Approx. 4 hours/month)

  • Manage data tracking systems for programs and events.

  • Compile event recap forms and prepare summaries for internal review.

  • Maintain accurate records of program outcomes and participant feedback.

Valley Network Events

(Approx. 2 hours/month)

  • Support special sustainability campaigns and community outreach efforts.

QUALIFICATIONS

Experience:

  • Previous work or volunteer experience in program coordination, community outreach, or event support preferred.

Skills:

  • Excellent communication and interpersonal skills.

  • Strong organizational and time-management abilities.

  • Comfortable using basic office software (Google Workspace, spreadsheets, forms).

Attributes:

  • Friendly, flexible, and community-focused attitude.

  • Ability to work independently and collaboratively with a lean team.
